Terms and Conditions

Welcome to Eyecon Moments. By accessing or using our website and services, you agree to comply with and be bound by the following terms and conditions ("Terms"). Please read these Terms carefully before using our website or services. If you do not agree to these Terms, you must not use our website or services.

1. Acceptance of Terms

By clicking “I agree to the Terms and Conditions” on the booking form, you confirm that you have read, understood, and agreed to these Terms. If you are booking on behalf of an organization or another individual, you confirm that you have the authority to bind them to these Terms.

2. Service Delivery

Eyecon Moments will take due care in delivering the product to a professional standard. We will provide the customer with two free opportunities to request specific changes (no more than 10 individual changes) in the final production. Any further enhancements will cost a minimum of £100 each. Changes must be clearly substantiated in writing no later than 30 days after the first submission.

3. Event Timing and Additional Charges

The film crew will be present at the specified times, and the rate has been negotiated to reflect this. If additional time is required, there will be a charge of £150 per hour or part thereof. By agreeing to these Terms, you authorize Eyecon Moments to charge for additional time if necessary. This sum will be added to the invoice, and payment will be required prior to the delivery of footage.

4. Location and Venue

The customer is responsible for specifying the location(s) of the event(s). If the location changes, Eyecon Moments must be notified at least one week in advance. Additional charges may apply depending on the new location.

5. Soundtracks and Copyright

The client is responsible for specifying soundtracks prior to the editing process. The client must ensure that all selected soundtracks comply with relevant copyright legislation. The customer must also outline “must-have shots” to the team, and we will aim to capture them.

6. Event Organization

Eyecon Moments is not responsible for organizing the event. We will capture events on a candid basis. If you have specific scenes you wish to include, they must be specified in writing, and we will do our best to accommodate them.

7. Venue Lighting

Eyecon Moments takes no responsibility for restrictive venue lighting. The customer is expected to discuss light flicker rates in accordance with EU standards prior to shooting.

8. Color Grading and Editing

Eyecon Moments will endeavor to color grade videos to a “true to life” standard. We are not responsible for airbrushing makeup on clients.

9. Event Itinerary

Itineraries should be provided two weeks prior to the event, agreed upon, and adhered to. If essential aspects of the event start without prior notification, we will try to accommodate but cannot take responsibility if they are missed.

10. Contact Details

The customer is expected to provide the contact details of the photographer, event planner, and other members of the production team so that we may liaise with them.

11. Travel Delays

We will endeavor to take precautionary measures to arrive at an event on time. If there are traffic delays, we will try our best to accommodate but cannot be held responsible for delays.

12. Health and Safety

If the health and safety of our staff are compromised during a shoot, we reserve the right to refuse continuation. If an accident occurs and we cannot continue, we will either arrange another day or reimburse the full amount paid for the event, depending on fault.

13. Backup and Footage Loss

We will take appropriate measures to back up footage using a RAID backup system. If there is an issue with the loss of footage, we will reimburse the money paid for the video.

14. Guest Count

The customer is responsible for specifying the correct number of guests at the event. If there is a substantial number of additional guests, Eyecon Moments reserves the right to refuse proceedings.

15. Additional Charges

The customer is responsible for additional charges incurred, such as parking, toll roads, etc.

16. Production Timeline

We will take measures to ensure the production is completed in a timely manner. However, we do not formally outline production completion dates unless specified in writing.

17. Weather Conditions

We will not shoot in rain or conditions that are detrimental to the health and safety of staff or equipment.

18. Copyright and Usage

All footage remains the copyright of Eyecon Moments, as per relevant copyright acts. Unauthorized copying of footage is an infringement of the act. We reserve the right to share/promote our works on public domains. If you do not wish for us to share works, a 40% charge will apply.

19. Booking Fees

All booking fees are non-refundable, even if the event is canceled or postponed for any reason. By agreeing to these Terms, you reserve the time and date agreed upon.

20. Unsatisfactory Results

Eyecon Moments cannot be held responsible for unsatisfactory results caused by limited time constraints, changes in schedules, weather, or uncooperative subjects.

21. Deposits and Payments

By committing to pay a deposit, you agree that you have read and accepted these Terms. We operate a no-refund policy on deposits. Once a deposit has been made, the client is liable to pay the full amount, even in the event of cancellations on the part of the client. Late payments or requests to pay the balance after the wedding day will incur a 20% surcharge.
